Keeping your documents long term
After everyone signs, Filosign keeps an encrypted copy of the envelope so you can open it again in the app. Paid workspaces also get backup retention tied to the subscription. If you need years of extended retention, buy a separate archival plan (subject to plan terms and the Terms of Service).
When to use this
Section titled “When to use this”- Compliance or record-keeping requires keeping signed agreements for years
- You want Filosign to hold encrypted copies for a fixed term without relying only on your own downloads
- You are choosing between Solo, Teams, and a separate archival subscription
- You need to understand how long-term backup relates to your workspace plan
How it works
Section titled “How it works”- The signed envelope stays available in your dashboard right away.
- Filosign keeps a fast copy on everyday cloud storage so you can open documents normally in the app.
- In parallel, Filosign backs up encrypted copies to Filecoin Onchain Cloud for long-term retention (independent of how fast you open the file day to day).
- If you buy archival, Filosign extends how long those backups are funded on Filecoin for the term you chose (1 or 3 years).
You and your recipients still open documents the same way in the app. Nothing changes in day-to-day use.
Archival storage (separate subscription)
Section titled “Archival storage (separate subscription)”Archival is a yearly subscription you add in Workspace settings. It is separate from whether you use Solo, Teams, or Teams Pro for sending documents. You do not need Teams Pro to buy archival.

Archival applies to all signed documents in that workspace for the active term.
Today, archival is purchased from a Filosign workspace with a paid signing plan (Solo or Teams). Archival is an add-on for retention, not a replacement for the app itself.
Example workflow
Section titled “Example workflow”A small law firm on Solo sends NDAs monthly but must keep signed copies for three years. They subscribe to Solo for sending and add a 3-year archival plan in Workspace settings. After each deal closes, they also download a proof packet for their own drive.
What to watch out for
Section titled “What to watch out for”- Filosign cannot keep documents forever without an active plan or archival subscription.
- Filosign cannot recover plaintext if everyone loses access and nobody exported a copy.
- Archival is about keeping what you already signed. It is not a substitute for downloading your own proof packet.
- Traditional e-sign tools also store completed envelopes for a period tied to your subscription. Filosign adds optional multi-year archival, downloadable proof packets, and private encryption.
How to manage retention in the app
Section titled “How to manage retention in the app”- Open Workspace settings → Archival to buy or renew a retention plan.
- After signing finishes, download a proof packet for your own records.
- Open a completed envelope to see storage or retention status. See Storage status in the app.
