Signing and routing

After you send, each recipient opens a familiar signing page: accept electronic records (if prompted), read the document, fill assigned fields, and confirm signing in the app. Filosign records each step for your proof export. Signers do not need special software.

  • You are setting up an envelope and need to choose parallel vs sequential signing
  • You need minimum signatures (for example, 2 of 5 board members) on Teams Pro
  • A recipient does not have a Filosign account yet
  • You want to understand how routing affects payout and gated-file release

By default, all signers can open and sign in parallel, like most e-sign tools.

Teams Pro adds:

  • Turn order: signers must sign in the sequence you set (for example, employee, then manager, then HR)
  • Minimum signatures: set how many signers must finish for the envelope to count as complete

Turn order and minimum signatures affect when payout packets and gated file release release.

Viewers can read but do not sign. Their access is still private and logged in proof exports.

Some people receive an invite before they create a Filosign account. They use a one-time recovery phrase from the invite to open the document, then complete the same signing steps.

When signing finishes:

  • Status becomes completed
  • Payouts and locked files release automatically when your rules match
  • Proof downloads unlock

A company sends an employment agreement to an employee, manager, and HR. On Teams Pro, they enable Signing order so the employee signs first, then the manager, then HR. The attached payout packet uses Pay out when: Everyone required has signed, which fires after HR completes the sequence.

  • Minimum signatures and turn order change what "complete" means for release conditions.
  • Recipients without accounts need their one-time phrase from the invite.
  • Signing problems often mean waiting for another signer or opening the document before signing. Open Support Center in the app and search for the exact message.
  1. While composing, add recipients and assign signer vs viewer roles.
  2. Open Signing order to arrange turn sequence (Teams Pro).
  3. Enable Minimum signatures and enter how many signers must finish (Teams Pro).
  4. Place fields for each signer, then send.

Signers use the signature library to reuse saved signature styles when fields are assigned to them.
